TAEK ("we," "us," or "our") is committed to protecting the privacy of everyone who uses our tournament management platform. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have regarding your data. By using TAEK, you agree to the practices described in this document.
1. Information we collect
When you register and use TAEK, we collect the following categories of personal information:
- Identity and contact information: Full name, email address, phone number, and national identification number (IC) or passport number, as required for tournament registration and identity verification.
- Athlete profile information: Belt rank, weight class, age group, date of birth, gender, and nationality — collected for the purpose of matching participants to appropriate competition categories.
- Account activity: Login history, registration records, payment references, and tournament participation history.
- Payment information: We do not store full payment details. Receipt uploads are stored securely for reconciliation purposes between clubs and tournament organisers.
2. How we use your information
We use the information we collect strictly to operate the TAEK platform. This includes processing tournament registrations, verifying participant eligibility, displaying your profile in tournament brackets and rankings, communicating important updates about your registrations, and improving the platform experience.
We do not use your data for advertising purposes, and we do not sell or rent your personal information to any third party under any circumstances.
3. Who we share your information with
- Tournament organisers: Organisers of tournaments you register for will have access to your registration details, including your name, age group, belt rank, and weight class, solely for the purpose of managing the event.
- Your affiliated club or coach: If you link your account to a club, the club administrator will have visibility over your athlete profile and registration history within their scope of management.
- Other participants: Your competition name, belt rank, and weight class may be visible to other participants through public brackets. This is standard practice for all competitive sporting events.
We do not share your information with any third parties beyond those listed above without your explicit consent, except where required by Malaysian law.
4. Data storage and security
Your data is stored on secured servers and protected using industry-standard encryption and access controls. We apply strict role-based access across the platform, meaning individuals only see the information they are authorised to access.
While we take all reasonable measures to protect your information, no digital platform can guarantee absolute security. We encourage you to use a strong, unique password and to contact us immediately if you suspect any unauthorised access to your account.
5. Your rights
You have the right to access the personal information we hold about you, request corrections to any inaccurate data, and request deletion of your account and associated data, subject to any legal or operational obligations we may have to retain certain records.
You may also opt out of non-essential communications at any time through your account settings. Transactional messages related to your active registrations cannot be opted out of, as they are necessary for the operation of the service.

6. Minors
TAEK is designed to accommodate athletes of all ages, including those under 18. Accounts for participants under the age of 18 must be created and managed by a parent or legal guardian. By creating an account on behalf of a minor, the parent or guardian consents to the collection and use of that minor's information as described in this Privacy Policy.
7. Data retention
We retain your personal information for as long as your account remains active or as necessary to provide our services. If you delete your account, we will remove your personal data from our systems within a reasonable timeframe, except where retention is required to comply with legal obligations or resolve disputes.
8. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. If we make material changes, we will notify you via email or through a prominent notice on the platform before the changes take effect. Your continued use of TAEK after any update constitutes your acceptance of the revised policy.
