1. Introduction and acceptance of terms
Welcome to TAEK, a tournament management platform designed for the Malaysian taekwondo community. These Terms of Service ("Terms") constitute a legally binding agreement between you and TAEK governing your access to and use of the platform, including all features, content, and services made available through our website and applications.
By creating an account or using TAEK in any capacity, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, you must discontinue use of the platform immediately.
2. Account registration and eligibility
To access the full functionality of TAEK, you must register for an account. You agree to provide accurate, complete, and current information during registration and to keep your account information updated at all times.
You are solely responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. If you suspect unauthorised access to your account, you must notify us immediately at support@taek.my. TAEK will not be liable for any loss or damage arising from unauthorised use of your account where such use resulted from your failure to safeguard your credentials.
Accounts are assigned one of the following roles: Individual, Parent, Club, Organiser, or Admin. Each role carries different permissions and responsibilities as defined within the platform. Staff accounts for Club and Organiser roles are created exclusively by administrators and are not available through the standard public registration process.
Participants under the age of 18 must have their account created and managed by a parent or legal guardian, who assumes full responsibility for all activity conducted under that account.
3. Accuracy of athlete information
By using TAEK, you warrant that all athlete information submitted to the platform is accurate, truthful, and up to date. This includes but is not limited to your full legal name, national identification number or passport number, date of birth, gender, belt rank, and body weight.
Your weight class and age group are computed automatically by the platform based on the information you provide. It is your responsibility to ensure the underlying data is correct. Submitting false or misleading information for the purpose of gaining an unfair competitive advantage, or for any other reason, is a material breach of these Terms and may result in immediate account suspension or permanent termination.
Gender is derived from your national identification number in accordance with Malaysian IC formatting standards for Malaysian citizens. Foreign nationals are required to provide this information explicitly during registration.
TAEK operates on a belt ranking system with twelve defined levels. Your belt rank must accurately reflect your current grading as recognised by your affiliated club or governing body. Misrepresentation of belt rank is considered a serious violation and will be treated accordingly.
4. Tournament registration and eligibility
When registering for a tournament, you must meet the eligibility criteria defined for each competition category, including age group, belt rank range, weight class, and gender requirements. The platform performs automatic eligibility checks at the point of registration and will only permit registration where all criteria are satisfied.
Players registered under a club must have their club verification approved before they are eligible to register for any paid competition category. Free categories may be subject to automatic approval where all eligibility conditions are met.
You acknowledge that tournament registrations are subject to payment obligations where applicable. Pending registrations that are not accompanied by confirmed payment within the stipulated timeframe will be automatically cancelled by the system. TAEK is not responsible for registrations lost as a result of failure to complete payment within the required period.
Tournament organisers reserve the right to cancel or modify events. TAEK does not guarantee the availability or continuation of any tournament listed on the platform.
5. Payments and refunds
Registration fees are collected offline and reconciled through the platform via receipt uploads submitted by affiliated clubs. TAEK does not directly process or hold payment funds.
In the event a tournament is cancelled, refunds are the responsibility of the tournament organiser. TAEK will track refund obligations through the platform and notify relevant parties, but is not financially liable for any refund amounts owed by organisers to participants.
Disputes regarding payments or refunds must be raised directly with the relevant club or tournament organiser. TAEK may assist with facilitating communication but does not adjudicate financial disputes between parties.
6. Prohibited conduct
You agree not to engage in any of the following while using TAEK:
- Providing false, misleading, or fraudulent information in your account or athlete profile.
- Impersonating any person or entity, or misrepresenting your affiliation with any club or organisation.
- Sharing your account credentials with any other person or allowing any other individual to use your account.
- Attempting to gain unauthorised access to any part of the platform, including other user accounts, administrative systems, or backend infrastructure.
- Using the platform for any purpose that violates Malaysian law or applicable regulations.
- Engaging in any conduct that disrupts, damages, or impairs the functionality or integrity of the platform.
- Attempting to circumvent, reverse engineer, or exploit any feature of the platform for unintended purposes.
TAEK reserves the right to suspend or permanently terminate any account found to be in violation of these prohibitions, with or without prior notice, at our sole discretion.
7. Club and organiser responsibilities
Clubs using the TAEK platform are responsible for the accuracy of their player roster, the timely processing of player verification requests, and the correct submission of payment receipts on behalf of their registered athletes. Clubs must not approve or submit information they know to be inaccurate or fraudulent.
Tournament organisers are responsible for the accurate configuration of their tournament listings, including competition categories, eligibility criteria, registration dates, and venue information. Organisers are also responsible for fulfilling all commitments made to registered participants, including conducting the event as advertised and processing any applicable refunds in the event of cancellation.
TAEK reserves the right to deactivate any club or organiser account found to be operating in breach of these responsibilities or in a manner that is detrimental to participants or the integrity of the platform.
8. Limitation of liability
TAEK is a software platform that facilitates tournament administration and registration. We are not a tournament organiser, sporting body, or event operator.
To the fullest extent permitted by Malaysian law, TAEK shall not be liable for any physical injury, loss, or harm sustained during or in connection with any tournament or sporting activity facilitated through the platform. Participation in taekwondo competitions carries inherent physical risk, and participants do so at their own risk.
TAEK shall not be liable for any loss or damage arising from tournament cancellations, scheduling changes, disputes between participants, clubs, or organisers, or any failure by an organiser to fulfil their obligations to participants.
In no event shall TAEK's total liability to you for any claim arising out of or related to these Terms or your use of the platform exceed the amount you paid, if any, to use the platform in the twelve months preceding the claim.
9. Intellectual property
All content, design elements, user interface components, branding, and software comprising the TAEK platform are the exclusive intellectual property of TAEK and are protected under applicable Malaysian and international intellectual property laws.
You are granted a limited, non-exclusive, non-transferable licence to access and use the platform solely for its intended purpose. You may not reproduce, distribute, modify, create derivative works from, or otherwise exploit any part of the platform without our prior written consent.
10. Third-party authentication
TAEK offers the option to sign in using Google OAuth. By choosing this method, you authorise TAEK to receive basic profile information from Google solely for the purpose of authenticating your identity. Your use of Google Sign-In is additionally governed by Google's own Terms of Service and Privacy Policy. TAEK is not responsible for the data practices of Google or any other third-party service provider.
11. Modifications to the platform and terms
TAEK reserves the right to modify, suspend, or discontinue any feature or aspect of the platform at any time, with or without notice. We will make reasonable efforts to notify users of significant changes that affect their use of the service.
We may also update these Terms from time to time. When we do, we will revise the "Last Updated" date at the top of this document. If changes are material, we will notify you via email or through a prominent notice on the platform. Your continued use of TAEK following any update constitutes your acceptance of the revised Terms.
12. Governing law and dispute resolution
These Terms are governed by and construed in accordance with the laws of Malaysia, including but not limited to the Personal Data Protection Act 2010, the Communications and Multimedia Act 1998, and the Contracts Act 1950.
Any dispute arising out of or in connection with these Terms shall first be subject to good faith negotiation between the parties. If a resolution cannot be reached, the dispute shall be submitted to the exclusive jurisdiction of the courts of Malaysia.
